Replacement is a scale question, not a quality question
The standard vendor argument is that manual covenant tracking is unprofessional and risky. That is not true, and lenders who do this work every day know it is not true. Experienced credit administrators running well-built covenant workbooks catch most of what matters, and have for decades.
What is true is that manual processes have specific structural limits, and those limits bind at predictable points: portfolio growth, covenant complexity, amendment volume, staff turnover, and examiner expectations around reproducible evidence. The useful question is not whether spreadsheets are bad, it is which of those five pressures you are currently under.
The five pressure points
- Volume. Somewhere between one and two hundred commercial relationships, the number of dated obligations exceeds what a person can hold reliably.
- Complexity. Defined terms, step-downs, equity cure caps, and covenant holidays are hard to represent in a flat tracker and easy to lose.
- Amendment traffic. Every amendment is a chance for the tracking system and the executed document to diverge. Heavy amendment volume makes divergence a matter of time.
- Key person risk.When the process lives in one person's head and files, their departure is an operational event.
- Evidence expectations. Reconstructing how a determination was reached is materially harder than retrieving it, and the gap shows in examination.
